    OVERVIEW

    The trouble with a paper manifest or booking sheet is that it's only good to the person who has got it in their hand. Worse still if no one has it and you cant find it …. There's real trouble!

    If your bookings were available to every one who needs them and they were up-to-data and accurate, wouldn't that make life a little easier?

    ProCharter Tour Desk is a system which looks after bookings for tour operators. These tours might be displayed in 15 minute increments or they could be overnight or week long or more. ProCharter is designed to handle it!

    ProCharter Tour Desk can look after simple one class tours or you can set up sophisticated classes of accommodation and define the price and number of occupants they hold. The user displays show the occupancy in both a graphical and numerical forms. Your Reservations staff will love it! The system looks after all aspects of the tour including the accounting.

    Often your guests or tourists will have special requirements. The Tour Desk has up to 14 user definable fields to collect ticket, marketing, and personal information as well as freehand text areas to qualify these data fields.

    ProCharter Tour Desk can be used in the Kiosk or Reservations centre and the reservations component will soon be offered online as a web reservation system from your web page.

    Time & Vessel Management

    A colour coded visual planner of Resources dates and times displays in various modes from 15 minutes up to a month at a glance. The operator can view the bookings and ascertain tour departures and availability. The system has the ability to establish at tour profile with associated resources. The profile would include tour name, time of departure and duration, the resources would be the vehicle, airplane, or tour guide used to service the tour. We call these Run Skeletons. These Run Skeletons can be scheduled into future timetables.

    When a Tour is selected the operator see the ticket manifest and pax details. The operator can drill down through this data to view or edit individual pax details or to process financial transactions. The system facilitates easy movement of pax from other tours where changes have been requested. This screen also displays availability of places within the various classes of accommodation if this is relevant.

    TICKET MANAGEMENT

    Ticket Details

    Important general ticket information can be stored including 8 user definable marketing fields. Typically these might be Check-in status, Payment Status, Accommodation, Transport but you can define your own. All relevant information to the ticket is available from the one screen. This information includes Ticket Info. which relates to accommodation classes, services purchased, payment details, and Guest details. Any number of guests can reside on one ticket and all guests can have 6 user definable detail fields assigned to them. These might include Dietary Preference, Medical conditions, Age, Nationality etc.

    The calculated cost of the ticket can be dependent on the type and style of accommodation you offer your guests. When you set up the resource (be it a cruise boat, holiday cabin or the like) you can define the areas and assign the individual costs for these areas. These might relate to the class of accommodation or you may wish to offer a three-birth cabin for use as a private double where this booking will fully occupy the area and will be charged at a premium price.

    When the area is sold the correct price is calculated and displayed. Of course these prices can be over-ridden by the operator. Naturally in the case of single class ticketing these structures are simply not set.

    Detail

    Guest Details are kept of the individual guests who appear on a ticket. The information is maintained within two subdivisions. The Detail section holds standard information such as Name, Address, Email etc and any special comments you may wish to record relative to this guest. The second comments field which appears in the lower section of the screen containes comments relative to the entire Ticket. This comment can be flagged as complete or an action date may be assigned to it.

    The "Other" tab is user definable but is designated for marketing and individual guset information. This information is useful for the tour operation and includes details such as dietary preference, medical conditions, etc also Marketing Info such as age category, nationality etc.

    This tab also holds details such as pick-up location and pickup time. These details are printed on the Pax ticket and various mainfest reports.

    Notes

    Notes can be stored against the Ticket and the Passenger. The Passenger Notes are displayed with the Pax - Other Info tab. The Ticket Notes are displayed along with the Main Tour display. If Notes have been flagged with an action date then the note will be displayed in colour with a status of complete, pending, or overdue.

    The first line of the note is displyed in the window. You may have unlimited number of notes per tour.

    SERVICES & PAYMENTS

    Services

    This section gathers and organises sundry requests, such as stinger suits, souvenir video, clothing, etc or anything else which may be required to service your guests. Some operators use these fields to separate charges such as Park Fees and other Government charges. In this way the tour costs are more easily justified. These Items can be set up to include or exclude taxes as the case may be.

    Payments

    The accounting details are all kept Open Item. This means that you can always check on which payments relate to which charges and visa versa. This is very handy where groups may book a tour on one ticket but payment may be accepted from the individuals. The payments section is very intuitive and receipts are easily made by reservations or counter staff.

    REPORTING

    The information collected is ultimately reported to the operations staff by way of manifest reports. These range from Bus Pick-up/Drop-off reports to Catering manifests. Ofcorse boarding passed an tickets can be issued. These include via ticketing kiosks. Full financial summaries are also avialable.
